How the time card calculator works

  1. Each day: clock-out minus clock-in, minus the unpaid break. Overnight shifts roll into the next day.
  2. The week's total is shown as hours:minutes and as decimal hours (what most payroll systems use).
  3. Hours past your overtime threshold are paid at the overtime rate if you enter an hourly rate.

Questions

How do I calculate hours worked?

Subtract the clock-in time from the clock-out time, then subtract unpaid breaks. 8:30 AM to 5:00 PM with a 30 minute lunch is 8 hours 30 minutes minus 30 minutes = 8 hours.

How do I turn minutes into decimal hours for payroll?

Divide the minutes by 60. 7 hours 45 minutes is 7 + 45/60 = 7.75 hours. The calculator shows both formats.

How is overtime calculated?

Under the US federal rule (FLSA), non-exempt employees earn 1.5× their regular rate for hours over 40 in a workweek. Some states, such as California, also require daily overtime; change the settings to match your rules. Results are estimates, not payroll or legal advice.

What if a shift goes past midnight?

Enter the times as usual. If the clock-out time is earlier than the clock-in time, the calculator assumes the shift ended the next day.
